Inconsistent formatting can make a Google Docs document look unfinished even when the actual writing is fine.
One heading may use a different font, a pasted paragraph may suddenly have extra spacing, or part of the document may look completely different from everything around it. Fortunately, most of these problems can be fixed without rebuilding the entire document.
Start by checking whether the affected text uses the correct Normal text or Heading style. If the formatting is still messy, clear the unwanted formatting, reapply the correct style, and then check line and paragraph spacing.
Before You Fix It: Identify the Problem Area
First, select a small affected section and compare its text style, spacing, and alignment with a correctly formatted paragraph. If the issue appeared after pasting content, check imported formatting. Before making large changes, use File > Make a copy so you can return to the original if needed.
Not sure why the formatting changed in the first place? Read Why Does Google Docs Keep Changing My Formatting? for causes and diagnosis. This guide focuses on repairing text that is already inconsistent.
1. Check the Paragraph Style First
The first thing to check is the paragraph style. Google Docs includes Normal text, Title, and Heading levels that can control how text looks throughout the document.
2. Look at the style dropdown in the toolbar.
3. Compare it with nearby text that looks correct.
4. Apply the same Normal text or Heading style.
Use paragraph styles for headings instead of manually changing font size, bold, and color every time. This makes it much easier to keep the whole document consistent.
2. Clear Unwanted Text Formatting
If the text contains several unwanted formatting settings and you cannot tell which one is causing the problem, clearing the existing text formatting can be the quickest fix.
Clear formatting can remove intentional bold, colors, and other text styling. Select only the problem section, make a copy if needed, and restore the necessary formatting afterward. It does not fix every page-layout setting.
2. Use Clear formatting.
3. Apply the correct paragraph style.
4. Restore any bold, links, or other formatting that you actually need.
On Windows and ChromeOS, the shortcut for clearing text formatting is Ctrl + \. On a Mac, use Command + \.
3. Paste Text Without Bringing the Old Formatting
Pasting content from a website, email, Microsoft Word file, or another document is one of the easiest ways to introduce inconsistent formatting.
On Windows or ChromeOS, press Ctrl + Shift + V. On a Mac, press Command + Shift + V. The pasted text can then follow the formatting of your Google Doc instead of bringing its previous appearance with it.
4. Match the Line and Paragraph Spacing
Two paragraphs can use the same font and still look inconsistent if their line or paragraph spacing is different.
2. Go to Format > Line & paragraph spacing.
3. Choose the same line spacing used by the surrounding text.
4. Check space before and after the paragraph as well.
5. Use the Same Heading Styles Throughout the Document
A document often looks inconsistent because headings that should have the same role were formatted separately by hand.
For example, one section heading may be bold 18-point text while another uses Heading 2. They may look similar at first, but future edits can make the difference much more obvious.
Use Heading 1 for main sections, Heading 2 for subsections, and Normal text for regular paragraphs. A predictable structure is easier to maintain.
6. Check Pages vs Pageless If the Layout Looks Different
If the problem affects the overall page layout rather than just fonts or spacing, check whether the document is using Pages or Pageless.
Pages uses fixed page boundaries and supports page-based settings such as margins, headers, footers, page numbers, and orientation. Pageless uses continuous scrolling and adjusts text width and wrapping differently.
If page breaks, margins, headers, or page numbers suddenly look different or disappear, open File > Page setup and confirm whether the document should use Pages or Pageless.
