Plan Your Christmas Budget Before You Overspend With This Google Sheets Tracker

Research-backed guide · Verify time-sensitive steps before publishing

Christmas gift shopping gets complicated fast when you are buying for several people at once.

A simple Google Sheets gift tracker can keep your ideas, budget, purchases, wrapping, and delivery status in one place. In this guide, you will build a Christmas Gift Tracker that shows what still needs to be bought and how much of your holiday budget is left.

QUICK ANSWER
Track the person, gift idea, budget, purchase status, wrapping, and delivery

Add one row for each person on your Christmas list. Give each gift a budget, record the actual cost after purchase, and use simple status columns to see what still needs attention.

What the Christmas Gift Tracker Includes

Gift ideas
Keep ideas next to each recipient instead of scattered across notes and tabs.
Budget vs. actual cost
See whether individual gifts are costing more than planned.
Purchase and wrapping status
Know what still needs to be bought or wrapped.
Holiday budget summary
See total planned spending, actual spending, and remaining budget.

Step 1: Set Your Total Gift Budget

Before listing gift ideas, choose the total amount you are comfortable spending on gifts this Christmas.

The downloadable template keeps this number on the Setup sheet and compares it with your actual spending.

EGGLOVER TIP

Set the total budget before choosing gifts. It is easier to divide a fixed amount between people than to add up a long shopping list afterward.

Step 2: Add Everyone on Your Gift List

Create one row for each recipient and add a relationship category such as Family, Partner, Kids, Friends, Coworkers, or Teachers.

Recipient Gift Idea Budget Actual Cost Status
Mom Cozy robe $60 $54.99 Wrapped
Dad Coffee grinder $75 $69.00 Purchased

Step 3: Track Budget and Actual Cost

Give every gift a target budget before you buy it. After purchase, enter what you actually paid.

This makes it much easier to see whether a few expensive gifts are using more of the total budget than expected.

The template automatically totals actual spending with:

=SUM(E9:E28)

Step 4: Mark Gifts as Purchased, Wrapped, and Delivered

A Christmas list is more useful when it tracks the steps after choosing a gift.

Purchased?
Wrapped?
Delivered?

In the template, type x in these columns as each step is completed. The Status column updates automatically.

=IF(H9="x","Delivered",IF(G9="x","Wrapped",IF(F9="x","Purchased","Need to Buy")))

Step 5: See How Much Budget Is Left

The summary at the top of the tracker shows your total budget, planned cost, actual spending, budget left, gifts purchased, and gifts wrapped.

Budget left is simply:

=Total Budget-Actual Spent

If the number drops below zero, you know the gift plan has gone beyond the amount you originally set.

Use Priority to Decide What to Buy First

A Priority column can help when you have gift ideas but have not purchased everything yet.

High
Important gifts to decide early.
Medium
Normal gifts with some flexibility.
Low
Optional or easy last-minute gifts.
